Did You Know

Did you know employee training records follow the individual?

Within ICBA, employee training records remain with the individual—not the institution. If a new hire previously worked at another financial institution that used ICBA’s online training, they likely already have an ICBA account. Their existing current enrollments and completed courses will still be visible when they log into the LMS.

What This Means for You as an Administrator

Roster management
When creating an account for a new or returning employee, you may receive a duplicate account warning in the Manage All Rosters section of the ICBA website. Follow the on-screen prompts or refer to the Administrator Guide section titled “Duplicate Account / Rehired Employee / Reused Email Address” for step-by-step instructions on how to transfer the account to your roster.

Online courses
For new hires or rehires, it is important to review their training history. Open their report card with a blank date range to identify any existing current enrollments. You may need to delete these enrollments so the employee can begin fresh with your bank’s training plan.

To access a report card:

  • Go to the Administration tab

  • Select the employee under Administer Members

  • Click “Click Here” next to Member Report Card

Best practice: Delete all enrollments from before the employee joined your bank to ensure accurate and consistent training records going forward.
